Connect HubSpot

HubSpot allows ELChat to retrieve and update CRM data useful to the customer relationship: contacts, opportunities, tickets, tasks, appointments, notes, calls, emails and files.

ELChat requires a ** private app access token**. This is the secret used by HubSpot to authorize ELChat on behalf of your private application. Fictitious example: pat-na1-xxxxxxxxxxxxxxxxxxxxx.

The token acts with the telescopes selected in HubSpot. It does not automatically give access to all functions: each family of objects must be allowed.

Step 1 — Create the private application HubSpot

  1. Log in to the HubSpot account with the rights to manage private applications.
  2. Open Settings.
  3. Go to Integrations > Private Applications.
  4. Create a private application and name the ELChat.
  5. In the scope tab, grant the necessary read and write rights for the objects you will use: contacts, transactions, tickets, tasks/commitments, appointments, notes, calls, emails and files. Add owner reading for assignment.
  6. If you are using sending email, also enable access to the transactional email and check that your HubSpot subscription allows it.
  7. Create the app and copy its access token.

Information to complete: HubSpot evolves its granular scope names. The ELChat configuration does not provide a fixed list of these names; check in HubSpot that each of the above families has the read/write rights corresponding to the actions you activate.

  1. Open Dashboard > your site > AI Actions > Connectors.
  2. On the HubSpot map, click Connect.
  3. Paste the Privacy token.
  4. Validate.

Map must show Connect. First, search for a known test contact. Check his name and email in HubSpot. Then test an opportunity or ticket reading if you intend to use these modules.

ELChat does not implement the creation of marketing lists, the sending of complete marketing campaigns or the administration of HubSpot portal.

  • Accessible data depend on the scope, the role of the private application and the HubSpot subscription.
  • First-time response statistics require, based on the control present in ELChat, Service Hub Professional or Enterprise.
  • Some custom properties may not be returned if not requested by the ELChat tool.
  • A fence, email or assignment can be refused by the rules of the portal.

To replace a token, create a new one in HubSpot, reconnect the map and test a search. Then call back the old token. The Disable button stops use in ELChat; Remove or spin the token in HubSpot for full revocation.

##Function available but access denied

The object scope is missing. Open the HubSpot private application, add the necessary reading or writing rights, then recreate or spin the token if HubSpot requires it.

###Contact, ticket or transaction unobtainable

Check that the data belongs to the connected portal, that it is not archived and that the private application has access to this object.

##Send impossible email

Control HubSpot subscription, the sender domain, transactional email rights and recipient compliance.

###Support statistics unavailable

Verify Service Hub edition and the existence of the properties expected in the portal.

##Security Create an application dedicated to ELChat, limit its scopes, keep its token out of conversations and revoke it as soon as it is no longer used.

Create a private application ELChat — Boutique, allow only the first reading of contacts and transactions, then connect your token to the Maison Atlas — Boutique website. Look for the test@example.com test contact and check its name and email before adding a script.

scopes determine accessible data families; the test contact checks that the token is targeting the right portal. Add the creation or update only when a workflow needs it, then place these actions under confirmation if they change the CRM.
